How Sunday Assembly Glasgow collects, stores and uses your data to help deliver a safe and enjoyable event.
Your personal data
Sunday Assembly Glasgow will be what’s known as the "Data Controller" of your personal data processed in relation to you signing up for updates, booking tickets or attending the Sunday Assembly Glasgow Gathering. This privacy notice will explain how Sunday Assembly Glasgow will process your personal data.
When you sign up for email updates:
When you sign up for email updates, we will collect the following data:
- Name
- Email address
- Phone number
We collect this data so that we can send you updates on the event, Sunday Assembly Glasgow and wider Sunday Assembly news by email or text message.
We will store this data until 6 months after the event has ended, to allow us to send you any information about the outcomes of the event, including reviews, publicity and press.
Our legal basis for processing this data is consent; we ask you to give explicit consent for Sunday Assembly Glasgow to process your data in the ways described above on our mailing list sign up form or when you provide your details at an in person event. You can withdraw your consent at any time by emailing hello@sundayassemblyglasgow.com or by clicking the 'unsubscribe' link in any of our emails.
Please note that if you have booked a ticket, we may still require consent to send you important event information.
When you book a ticket:
When you book a ticket, we will collect the following data for each ticket holder:
- Name
- Pronouns (optional)
- Email address (excluding under 18s)
- Phone number (excluding under 18s)
We collect this data so that we can provide inclusive name badges at the event, analyse the different SA Chapters in attendance, and contact you with key updates about the event.

We collect this data so that we can provide suitable catering and refreshments for all attendees to the event, and to make any adjustments needed to ensure the event is accessible for all. This will sometimes involve sharing pseudonymised data with our venue and third party catering suppliers.
We will store this data for a maximum of 6 months after the event has ended, to allow us to effectively respond to any queries or concerns raised during and after the event. After this time we will keep an aggregated, anonymised summary of headline data to allow us to track trends in annual conference attendance; no identifying information will be retained at this point.
Our legal basis for processing this data is consent; we ask you to give explicit consent for Sunday Assembly Glasgow to process your data in the ways described above on our ticket booking form. People booking tickets on behalf of others must obtain their consent before proceeding. Parents and carers booking tickets on behalf of those aged under 18 are asked to give consent on behalf of the child. Any ticket holder or parent/carer of a child ticket holder can withdraw their consent at any time by emailing hello@sundayassemblyglasgow.com.
When you attend the Sunday Assembly Glasgow Gathering and associated events:
When you attend the event we will be taking photos and videos of the event, which may include images or videos of attendees. We collect this data so that we can effectively publicise the event and promote future Sunday Assembly conferences.
We will store this data for a maximum of two years to allow us to use images to promote future Sunday Assembly conferences and events. Selected images may also be presented and stored via online presences and other publicity relating to Sunday Assembly, Sunday Assembly Glasgow and The Sunday Assembly Glasgow Gathering.
Our legal basis for processing this personal data is legitimate interests; we believe that collecting this data at a public event is reasonable, that collecting this data is necessary to achieve our objective of publicising the event and promoting future Sunday Assembly conferences, and we believe that the impact on attendees will be low and is unlikely to cause distress or harm.
You are made aware of our intention to collect photos and videos during the event at the time of booking. You can opt-out of appearing in photo or video images at any time by emailing hello@sundayassemblyglasgow.com or by letting someone know when you check in.

If you make a request, we must respond to you without undue delay and in any event within one month.
